Job Title: Specialized Fiduciary Administrator

Location: Hybrid – 333 S HOPE ST., Los Angeles, CA (4 days in-office / 1 day work from home)
Schedule: Manager will discuss schedule; flexible hours available
Pay Rate: $34.47/hr paid weekly.

Overview

The Specialized Fiduciary Administrator provides comprehensive administrative support to Estate Settlement Officers (ESOs) and Estate Settlement Market Directors (ESMDs) who oversee a book of wealth transfer accounts. This role requires strong attention to detail, excellent client communication skills, and the ability to operate independently while collaborating closely with fiduciary professionals and internal partners.

The administrator will handle both PACE and Brokerage estate and trust accounts, ensuring accuracy, compliance, and efficiency in all fiduciary administrative functions.




Key Responsibilities

  • Provide comprehensive administrative support to ESOs and ESMDs in managing wealth transfer, estate, and trust accounts.

  • Prepare, review, and process all documentation and transactions using platforms such as CRW, Trust Web, PACE, and KYC Tool.

  • Coordinate with internal departments—including Tax, Compliance, and Specialty Asset Management—to ensure seamless operations.

  • Communicate directly with clients and Financial Advisors to resolve inquiries, requests, and account-related concerns.

  • Manage asset setup, transfers, and custody of physical documents as vault custodian, ensuring accuracy and integrity.

  • Oversee daily workflow, reporting, and centralized mailbox management to maintain timely and compliant service delivery.




Skills & Requirements

  • Excellent verbal, written, and interpersonal communication skills with a strong client-focused approach.

  • Highly organized and detail-oriented, able to manage multiple priorities in a fast-paced, high-volume environment.

  • Proficient in Microsoft Word and Excel; familiarity with PACE, Pierce, Trust Web, and CRW preferred.

  • Strong understanding of fiduciary administration, wealth transfer processes, or trust operations is a plus.

  • Self-motivated, able to work independently with minimal supervision; must be a non-licensed associate.




Education & Experience

  • Bachelor’s degree, Paralegal training, or equivalent work experience required.

  • Prior experience in banking, fiduciary administration, or financial services preferred.
