Summary
Client is seeking an experienced Executive Assistant II to join the Admin Specialist Program (ASP), a scaled administrative team providing high-volume calendar, expense, and travel support for multiple leaders. This role will require exceptional organizational and multitasking skills, with the ability to support executives remotely at a ratio of up to 6:1. The ideal candidate will be resourceful, proactive, and thrive in a fast-paced environment while maintaining discretion and professionalism.

Responsibilities
- Provide remote high-volume complex calendaring, travel, and expense support for multiple leaders
- Learn and utilize client’s internal and external tools to provide effective calendar management
- Communicate proactively with leaders to understand business priorities and align support
- Partner with leaders and other Executive Assistants to coordinate meetings and schedules
- Provide time management recommendations to leaders to maximize efficiency
- Deliver proactive coverage and support for team members if bandwidth allows
- Maintain confidentiality and exercise discretion when handling sensitive matters
Qualifications
Must-Have Qualifications:
- 2+ years of experience providing administrative support to 2 or more executives
- 2+ years of experience managing calendars, travel, and expenses for executives
- Experience prioritizing multiple tasks and deadlines in a fast-paced environment
- Proficiency in Microsoft Office and familiarity with CRM or ticketing systems
- Strong judgment and discretion when applying company policies and practices
- BA/BS degree (High School Diploma or equivalent required)
- Experience supporting executives at a large-scale tech company
- Familiarity with Concur and Outlook
- Experience managing multiple executives simultaneously
Must-Have Skills
- Mastery in multitasking and organizational efficiency
- Strong communication skills with a proactive approach
- Ability to manage complex schedules and prioritize effectively
Nice-to-Have Skills:
- Background in supporting higher executive ratios (6:1 support model)
Interview Process
- 2 Rounds: Screening interview & Final interview
- Duration: 30 minutes each (via Zoom)
