We are seeking a highly organized and detail-oriented Fiduciary Services Administrator to provide specialized administrative and operational support within the Private Bank's Trusteed Individual Retirement Account (TIRA) line of business. This role is crucial to ensuring the accurate, efficient, and compliant delivery of IRA account services to our high-net-worth clients and internal partners. The ideal candidate must be able to work independently, manage transactional tasks, and maintain strong professional relationships with client-facing officers and external stakeholders.
Key Responsibilities:
Administrative & Operational Support
- Serve as the primary support contact for servicing activities related to Trusteed Individual Retirement Accounts (TIRA).
- Perform routine and specialized administrative duties independently, including account maintenance and the accurate execution of complex TIRA account opening processes.
- Process all TIRA money movement and tax-related transactions (e.g., contributions, distributions, rollovers) while ensuring compliance with internal policies and regulatory requirements.
- Perform general office duties, such as file retrieval, optical imaging, filing, copying, ordering supplies, and managing routine correspondence (letters/emails) and phone calls.
- Act as a point of contact for clients, internal partners, and external partners, providing timely and professional assistance.
- Provide dedicated administrative support to Specialized Fiduciary Officers, National Trust Services Managers, Team Leaders, and the National Executive team.
- Work closely with client-facing Trust Officers and Administrators to ensure accurate and efficient delivery of account-level services.
- Coordinate and facilitate the flow of information and activities with various internal support groups (e.g., Tax, Compliance, Operations, Technology) and external business partners (e.g., Attorneys, CPAs, Fiduciary Accountants, third-party vendors).
- May be accountable for managing smaller, less complex client situations that require a fundamental understanding of fiduciary processes.
- May be asked to participate in projects, prepare detailed reports, and conduct research as needed to support the team's objectives.
- Serve as a backup for Officers, demonstrating a foundational knowledge of the business.
Desired Experience & Skills
- 1 – 3 years of administrative experience in a financial field is preferred, with a focus on retirement accounts (IRA) or within a Private Bank/Merrill environment.
- Superior organizational skills and proven detail-orientation are essential.
- Excellent oral and written communication skills, with a demonstrated ability to communicate effectively with clients and professional partners.
- Ability to work independently and manage a high volume of routine and complex administrative tasks.
- Proficiency in Microsoft Office Suite (Outlook, Word, PowerPoint) is required.
