Business Operations Project Coordinator

Title: Business Operations Project Coordinator III
Location: Burlingame, CA (onsite) 
Duration: 12 Months
Pay: $58-63/hr


Summary:
We’re seeking a Business Operations project coordinator (CW) to support core team operations, with emphasis on employee experience, internal communications, and administrative program logistics. This role partners closely with Wearables Business Operations Leads and cross-functional teams (People, Product, Engineering, Design, Finance). The ideal candidate is highly organized, proactive, and comfortable managing many moving pieces with clear communication and strong attention to detail.

Responsibilities
Own operations and coordination for employee engagement and team experience programs (planning, scheduling, vendor/room/tool coordination, tracking budgets if applicable, and follow-through).
Draft internal communications (updates, announcements, FAQs) that are clear, accurate, and aligned to tone and audience.
Drive org-wide programs and projects, taking action on key deliverables and keeping stakeholders informed on progress and dependencies.
Compile and polish content for leader presentations.
Support virtual events end-to-end, including run-of-show, attendee comms, invitees, day-of execution support, and post-event retros.
Leverage AI tools to streamline workflows—while applying good judgment on accuracy and confidentiality.
Oversee knowledge management to keep teams informed and connected

Minimum Qualifications
  • 5+ years experience in program coordination, operations, administrative program management, or similar roles supporting multiple stakeholders across varying functions and seniority including Sr. Executives.
  • Demonstrated ability to manage deadlines and dependencies across several parallel workstreams with minimal oversight.
  • Proficiency with common collaboration tools (docs, spreadsheets, slide tools, calendars) and comfort learning new systems quickly.

Must Have Skills:
  • General knowledge of AI.
  • Strong written and verbal communication skills; comfort tailoring messages to different audiences.
  • Strong organizational skills and attention to detail; proven ability to handle sensitive information with discretion.
  • Experience with event logistics (virtual and/or in-person) and operational execution.

Good to have skills:    
  • Experience creating high-quality decks and/or light creative support (basic video editing, simple graphics) for storytelling.
  • Demonstrated ability to apply AI tools to improve operational workflows (drafting, summarizing, tracking, templating).
