About the Role:
We’re seeking a highly experienced Administrative Business Partner to provide advanced administrative and operational support to executive leaders and their teams. This role requires strong organizational skills, attention to detail, and the ability to manage multiple priorities in a fast-paced corporate environment.
Key Responsibilities:
Executive & Team Support
- Manage complex calendars across multiple time zones, including coordination with external stakeholders.
- Provide high-level administrative support to senior leaders, always maintaining confidentiality and discretion.
- Draft and distribute departmental communications such as emails, newsletters, gSites, and internal updates.
- Maintain organizational charts and support HR-related processes, including candidate interviews, onboarding logistics, and team development initiatives.
- Independently plan and execute internal meetings, team offsites, and large-scale events.
- Coordinate logistics for in-person and virtual meetings, including webcasts and collaboration tools.
- Develop agendas, prepare materials, capture meeting notes, and follow up on action items.
- Manage vendor relations, contracts, and payments where required.
- Organize and manage shared drives, gSites, and other collaboration platforms.
- Partner on space planning, office operations, supplies procurement, and departmental logistics.
- Stay up to date on training and technology tools, delivering guidance and best practices to the team.
- Leverage expertise in Google Suite, Microsoft Office, and client IT systems to improve team workflows.
- Handle document management and filing.
- Perform data entry and maintain accurate records.
- Deliver exceptional customer service to internal and external stakeholders.
- Support departmentwide projects and assist with process improvements.
Qualifications:
- 10+ years of administrative experience, preferably in executive or business partner roles.
- Strong organizational and problem-solving skills with the ability to prioritize effectively.
- Excellent written and verbal communication abilities.
- Proficiency with Google Suite and Microsoft Office; experience with departmental collaboration platforms.
- Ability to work independently, manage sensitive information, and adapt quickly in a dynamic environment.
- Familiarity with office management systems, space management tools, and event coordination platforms.\
