Associate Manager, Label Marketing & Accounting Administration
Location: Fully Onsite in 404 Washington Avenue, Miami Beach Florida
Duration: 6-month contract, possible extension/conversion
Schedule: M-TH in-office, Fri work from home; 10am - 6pm
Pay rate: $25 - $28/hr
Our client is seeking an associate manager to provide day to day finance support to the Marketing teams; Work with the Central Accounting team on elements of the monthly financial close; Track and analyze variances to budget and forecast for upcoming month's; Assist in preparing quarterly forecasts and annual budget alongside the VP of Label Operations. Maintain and monitor certain forecasting/planning systems, primarily the forecasting system within SAP/Uniport; Provide ad hoc analyses of artist projects as required.
Job Functions:
- Manage marketing project administration cycle which includes, but not limited to, the following:
- a) Partner with VP of Label Operations of UM Latino to set up, streamline, and manage budgets forartists and projects.
- b) Liaise and partner with Finance team under VP Finance for monthly budget reservations, fund transfers, vendor installation, creating requisitions, facilitating PO approval, rushes, invoice troubleshooting, vendor relations, etc.
- c) Manage Marketing projects by artist, vendor and expense type. Control of assigned budget to each project and allocation of resources within SAP (via POs):
- Review and re-assign resources within the month or quarter, with the label Managing
- Director and SVP Marketing, to each project monitoring the expense within the monthly/quarterly budget assigned
- d) Develop, prepare, and manage Marketing budgets for senior management (Marketing and Finance) with analysis of marketing investments by type of expense, vendor, projects and/or by artist.
- e) Manage project deadlines with Marketing, Finance, Legal, vendors and suppliers by communicating expected deliverables, compliance protocols, and resources
- Manage the vendor payment process (in partnership with Finance/Accounting Team):
- a) Manage compliance approvals in partnership with the Finance and Legal departments.
- b) Manage, streamline, and coordinate vendor set up within SAP/Uniport which includes, but not limited to, obtaining proper documentation and coordinating vendor-uniport set up process.
- c) Manage vendor invoices and backup documentation (invoices, POs, approvals) for payment set up and payment programming within SAP/Uniport.
- d) Record and distribute marketing meeting minutes / organize meetings, music listening sessions.
- e) Manage Marketing and Accounting Ad hoc projects, for example:
- a. Create, develop, and manage all one sheets, timelines, quote sheets, and any other project-related documents.
- b. Facilitate travel for Artists as requested.
- f) Manage and streamline internal processes to better improve marketing and accounting
- Provide project updates on a consistent basis to various stakeholders about strategy, adjustments, and progress
- Monitor progress and make adjustments as needed
- Measure project performance to identify areas for improvement
- Strong Project Management and Computer skills: Excel, Uniport/SAP, Monday, Powerpoint.
- Accounting/Financial/Administration experience.
- Extremely organized and process oriented.
- Multitask ability and able to prioritize activities in high speed environment.
- Team work and interpersonal skills; ability to interact with internal and external partners.
- Ability to work under high pressure and speed.
- Must be flexible, able to multi-task and manage time effectively.
- Experience in the Entertainment Business a plus
• 3-5 years work experience in a professional environment.
